Start with the work you need covered
For a one-person trade business, the useful comparison is not which voice sounds best. It is what happens when you cannot answer, what the caller is promised, and what you have to do afterward. Write down your recurring call types before requesting quotes: new inquiries, fee questions, appointment changes, existing-job concerns, and requests for a person.
An AI receptionist handles conversations through software. A human answering service uses people, while a hybrid service combines the two. Those labels alone do not tell you which hours, languages, integrations, or escalations a specific plan supports.
Compare each option against the same requirements

Neither option should promise a technician, a refund, or a confirmed appointment without the authority and information to do so. A human answering service may still need your callback. An AI service with a human escalation option is not necessarily staffed by a person for every call.
When human coverage deserves priority
Put human coverage first when your recurring calls require judgment you cannot express in a reliable policy, your customers frequently need a sensitive conversation, or you need an authorized person to resolve exceptions. Verify that the person answering actually has that authority; outsourcing the phone does not automatically outsource your decisions.
AI may be worth evaluating when much of the work is repeatable intake, supplied-policy questions, and clearly defined handoffs. A hybrid can be worth evaluating when routine intake is common but a staffed exception path matters. These are selection criteria, not measured performance rankings.
Build a cost worksheet from your own calls
Ask each provider to price the same expected call count, call duration, hours, languages, and tasks. Record the monthly base charge, included allowance, overage formula, setup charge, optional support, and contract terms. Include the time you spend checking messages and returning calls. Compare the written totals for both an ordinary month and a busy month.
Do not treat every missed call as a lost job or multiply calls by an assumed job value. A sales call, duplicate inquiry, and existing-customer update have different outcomes.
Test before choosing
Run the same seven-call scorecard with each shortlisted provider in a designated test setup. Keep spoken promises and recorded outcomes together. If one option cannot demonstrate a critical workflow, record that gap rather than filling it in from a sales presentation.
